Academic Policies and Procedures

Course Numbers

XSB1 to XSB199:  Undergraduate Open Enrollment courses (i.e., UCSB regular session undergraduate courses in which UCSB Extension students may enroll) are transferable for unit, subject, and grade-point-average credit toward the Bachelor’s Degree at UCSB. Courses numbered XSB1 to XSB99 are lower-division (freshman/sophomore); those numbered XSB100 to XSB199 are upper-division (junior/senior).

XSB200 to XSB299 and XSB400 to XSB499:
Graduate Open Enrollment courses (i.e., UCSB regular session graduate courses in which Extension students may enroll). Graduate students may not take coursework through University Extension that can otherwise be completed through normal registration. Consult the chapter “Graduate Education at UCSB” in the UCSB General Catalog.

X1 to X199:  These courses are structured in accordance with requirements for UCSB undergraduate courses. While no course is exactly equivalent to those offered by the UCSB regular session, X1 to X199 courses are transferable for unit credit toward the Bachelor’s Degree at UCSB upon petition and institutional approval. Their applicability for subject credit is determined by the student’s major department. Courses numbered X1 to X99 are lower-division (freshman/sophomore); those numbered X100 to X199 are upper-division (junior/senior).

X300 to X399:  Professional level credit courses in the field of education. Designed for teachers and prospective teachers, the major emphasis in these courses is on: teaching methods and materials; curriculum; philosophical and sociological foundations of education; and educational problems and law.

X400 to X499:  Professional-level (post-baccalaureate) credit courses and lecture series in fields other than education. While most of these courses offer special opportunities for professional, paraprofessional, or other career advancement, many also are of general interest.

X800 to X899:  Noncredit seminars providing opportunities to pursue intellectual, professional, civic, and cultural interests Courses numbered from X800 to X899 are generally designated with Continuing Education Units (CEU’s), a universally recognized means of measuring and recording noncredit, postsecondary-level study. One CEU is awarded for every 10 contact or classroom hours of participation; less than 10 hours is shown as a fractional CEU. For example, an 8-hour-long conference earns 0.8 CEU. CEU’s provide a cumulative record of noncredit study, useful where employers, relicensure agencies, and other authorities require a specified number of hours of instruction for career advancement purposes and where noncredit study is acceptable.

Grades and Grading Policies on Credit Courses

  • University Extension Credit Courses (X1 to X499)
Students are responsible for completing class work as assigned. All projects, assignments, and tests should be submitted or taken on their scheduled dates. Make-up assignments and proctored tests are given only with instructor consent for a valid cause or emergency. Any homework or test(s) outstanding after the assigned due date could result in a lesser grade or the issuance of No Credit (NC) as a final grade for the course.
Students are automatically notified of their final grades by mail, usually within three to four weeks after the course ends or as soon as the instructor submits grades.

Students enrolled for credit in X1 to X199 numbered courses are assigned one of the following grades: A, B, C, D, F, P, NP, or I.* For purposes of assessing performance in X1 to X199 numbered courses when the Pass/No-Pass grading option is being used, work evaluated as “C-” or less is considered not passing.

Credit students enrolled in X300 and X400 numbered courses are assigned one of the following grades: A, B, C, D, P, NC, or I.* UCSB Extension observes a nonpunitive grading policy for credit students who fail to meet the instructor’s criteria for earning the equivalent of a “D” or better grade in X300 and X400 numbered courses. In this case, an “NC” (or No Credit) grade is assigned instead of an “F,” and no units are awarded. The “NC” designation carries no penalty but does require the student to retake the course and earn a letter grade of “C” or better in order to earn credit toward a certificate.

    * The “I,” or incomplete, grade is assigned when a student who is passing the course notifies the instructor that he/she cannot attend the last one or two class sessions, must miss the final exam, or is requesting an extended deadline for turning in the final project or paper. The student is responsible for negotiating this arrangement with the instructor in advance. Students have three months from the ending date of the course to complete the course work before the grade automatically converts to an “F,” “NP,” or “NC,” depending on the course number. Receiving an “I” grade does not entitle the student to attend any portion of that course at no charge the next time the course is offered.

Students who wish to appeal their final grade must file a written notice with the registrar at UCSB Extension within 30 days of the date grades were recorded by Extension. The letter should indicate the nature of the dispute and include appropriate supporting documentation, student name, social security number, and signature. For further information about the grade appeal process, contact UCSB Extension (see below).
  • University Extension Noncredit Courses (X800 to X899)
Courses numbered X800 to X899 are noncredit courses that do not carry unit values and are not graded. Most X800 numbered UCSB Extension courses carry CEU’s (Continuing Education Units). See this page.

  • University Extension Credit Courses (X300 to X499)
Students have until the last session of the class to change their status from credit to no-credit (or the reverse) and to change their grading option from letter grade to P/NP (or the reverse). A $25 per course processing fee is charged for all credit or grading option changes. To change your credit or grading option, send written notice with payment included to the UCSB Extension Student Services Office. Withdrawals

  • University Extension Credit Courses (X1 to X199)
It is the student’s responsibility to petition to drop a course they are enrolled in. The Petition for Withdrawal form at www.extension.ucsb.edu/student/forms must be submitted with the instructor’s signature no later than 4pm on the Friday of the fourth week of instruction.
  • University Extension Credit Courses (X300 to X499)
Students who wish to withdraw from a credit course may do so until the last class session without penalty providing they notify the instructor and the UCSB Extension Student Services Office in writing (see contact information above). A “W,” or withdraw, is recorded on the transcript in this case. Students who stop attending and who do not formally withdraw by notifying both the instructor and the UCSB Extension Student Services Office in writing will have an NP, NC, or F recorded, depending on the course number and grading option.
  • University Extension Noncredit Courses (X800 to X899)
Students who wish to withdraw from a noncredit course may do so until the last class session by notifying the UCSB Extension Student Services Office in writing.

Transfer of UCSB Extension Credit to Degree Programs

If you are seeking a degree from another university, you are urged to verify acceptability of UCSB Extension credit through consultation with your own college program advisor prior to enrollment at UCSB Extension.

If you are a matriculated student or an applicant for admission to the University of California:

  • University Extension Credit Courses (X1 to X199)
Credit earned in these courses shall be accepted in fulfillment of unit requirements on all UC campuses, upon petition to the respective UC Registrar’s Office.
  • University Extension Credit Courses (X300 to X499)
Credit earned in these courses shall be acceptable toward the B.A., B.S. or post-graduate programs leading to recommendations for teacher credentials only within the limitations prescribed by the various colleges and schools.
Transfer of these units for fulfilling subject requirements will be determined by the usual procedures governing evaluation of credits gained at other acceptable institutions. Grade points earned are counted for admission purposes only, not for GPA.

Transfer Credit from Other Institutions

To transfer credit received at other colleges or universities, please refer to the instructions in the individual certificate program brochures. To request these brochures, use the “Information Request” form.

Unit Values on Credit Courses

Credit courses award units. Units are indicated in parentheses next to the course number. Units are an indicator of the length and depth of study. The minimum requirement for one quarter unit is nine hours of in-class time.
UCSB Extension operates on the quarter system. One quarter unit equals two-thirds of a semester unit.
